Notice of Elections and Presidential Report

PAPN Houston is having elections for Board Officers and I am writing to advise you of the changes in leadership, the opportunity for service and to provide a Presential Report.  It has been my privilege to serve in a presidential role with PAPN Houston for the past 3 years and my term will complete in August, 2022.   COVID-19 has made my term an interesting one; learning how to manage virtual meeting; how to restart meeting in the face of reemerging variants.  In face of these challenges it is my opinion that the organization has remained stable.  Our finances are stable (Current Balance - $30,788; Aug 2020 Balance - $25,665).  Our membership has reduced about 10% (Current membership – 92; Jan 2020 membership – 105).  There have been several accomplishments during my term that will make it easier for future PAPN Houston leaders.  We have replaced our website with one that is user friendly.  We have engaged a professional bookkeeping firm to manage our banking and financial record-keeping which makes the Treasurer role much easier. 

With that said, for PAPN Houston to continue to thrive, it requires members to volunteer their talents and skills to lead the organization.  We have key positions where your talent and skills could serve.   I regret to inform you that the President-Elect, Doreen Phillips has resigned and our Treasurer, Tammy Souter will be completing her 2-year term of service.  Fortunately, our Secretary, Trenise Griffin, and Membership Coordinator, Igantius Otteh, have agreed to continue in leadership positions. We invite interest members to consider running.  Any member who has attended 2 meeting in the last year can run.     We will be inviting nominations at the membership meeting, July 21st. 

 

-- Igantius Otteh has agreed to run for President. 

-- The key open position is President-Elect.  It is a 3-year commitment; one-year as President-Elect, one-year as President and one-year as Past-President. 

-- Trenise Griffin has agreed to run for full Secretarial term of 2-years.

-- William Tudor has agreed to run for Treasurer.  To maintain staggered terms of service, this is a one-year term. 

-- Membership Coordinator. 1-year term. 

List below are the duties of the above positions. 

President

  1. Serve as primary representative for PAPN Houston
  2. Provide leadership for overall direction of PAPN Houston and collaboration with other board officers
  3. Coordinate and help ensure that meetings are effective and responsive to the needs of membership
  4. Serve as signatory on PAPN Houston in financial accounts
  5. Facilitate communication to membership with the assistance of PAPN Houston Board

President-Elect

  1. Provide leadership and in accordance with organizational bylaws and assist the president in determining the overall direction of the organization
  2. Fill in for the president as needed
  3. Assist with organizational meeting sponsors and speakers as needed
  4. Prepare ballot for upcoming slate of officers for membership vote. Officers will be solicited by board members as well as membership.
  5. Provide leadership and oversee the bylaw committee
  6. Facilitate communication with membership

Secretary

  1. Maintain documentation of PAPN Houston minutes.
  2. Maintain files of PAPN Houston, serve as archivist and passing information future Secretaries.
  3. Serve as member of other committees as assigned

Treasurer

  1. Provide oversight of membership dues in accounting of revenues and expenditures
  2. Reconcile and review bank accounts and reporting for accuracy
  3. Provide a quarterly financial report to membership
  4. Provide a monthly financial report to the board
  5. Coordinate an audit/review of PAPN Houston financial accounts by an independent professional agency every two years.

Membership Coordinator

  1. Maintain a roster of group members
  2. Assisted in tracking responses for meeting attendance
  3. Document attendance at meetings
  4. Recruit potential new members
  5. Communication of membership status and other happen related business to the board and membership
